How we handle information from visitors to spanlinesystems.com and clients we work with. Written in plain language; the legal basis is the Personal Information Protection and Electronic Documents Act (PIPEDA, Canada).

What we collect
Two categories of information:
- Quote-form submissions. When you fill out the quote form on this site, we collect the project type, size/span, your email, and any name, company, phone, or message fields you provide. These fields are used to respond to the quote request and nothing else.
- Server logs. Standard web server logs — IP address, user agent, requested URL, referrer, response status. Used for traffic analysis and security monitoring. We do not use third-party analytics that track individuals across sites.
What we don't collect
- No tracking pixels, no remarketing tags, no advertising cookies.
- No cross-site identifiers, no Facebook Pixel, no Google Analytics.
- No newsletter signups outside the quote form (we don't have a newsletter).
- No payment information — we invoice directly, payments are handled outside this site.
How we use it
- Quote-form submissions go to a single internal inbox monitored by our team. We respond to the email or phone you provide.
- Server logs are reviewed for security incidents and performance troubleshooting; they're rotated and deleted on a 90-day cycle.
- If you become a client, we keep your contact information and project records for the duration of the engagement plus 7 years (Ontario record-retention practice for engineering work).
Who we share it with
Quote-form submissions and client information are not sold, rented, or shared with third parties for marketing purposes. We share information only when:
- A subcontractor or service provider needs it to complete work on your behalf (e.g. a galvanizer needs the project address for delivery). They receive only what's necessary.
- The law requires disclosure — court order, valid subpoena, or government inspection of records (rare and project-specific).
Email delivery
Email from this site is sent through a transactional email service (Resend) operated by NocktechHosting on our behalf. The service receives only the message content, your reply-to address, and the project-type / size fields needed to compose the email. The service has no record of the form submission outside the email itself.
Cookies
This site sets one cookie: theme, which stores your day/night theme preference for 90 days. No tracking cookies, no third-party cookies, no analytics cookies.
Your rights
Under PIPEDA you have the right to:
- Request access to any personal information we hold about you.
- Request correction of inaccurate information.
- Withdraw consent for ongoing communications (we'll honour the withdrawal but may need to keep records of past work for the legal retention period).
- Complain to the Office of the Privacy Commissioner of Canada if you believe we've mishandled your information.

Changes
If we change this policy, the "Last updated" date at the top changes. Material changes get a notice on the homepage for 30 days. We don't make changes retroactive — information collected under an earlier version stays governed by the version that was in effect when it was collected.
